List view for articles (inventory directories) with various sort, filter and search options, as well as the option to export to Excel.

Create new articles, edit articles, edit inventory directories and perform storage transactions from this list view. For details, see separate description.

Search field for free text: Includes searches for article number/designation, supplier’s article number/designation, as well as the fields for Description, Technical info, Product info, Comments, etc.

Asset search field: Search for asset number and asset name. Generates a list of articles that are connected to the selected asset, including all subordinate levels. Special filtering for searches performed in the selected structure only.

[SP] [S] [C] [NS] [O] [S] [B]: The letter to the left of the article number indicates the article class: SP=spare part, S=service, C=component, NS=not stocked, O=other, S=serial number controlled and B=Batch controlled. For further details, see separate description.

Inactive: An article can be set to inactive. Overview of all inactive articles can be obtained by checking off here.

Alt. no.: You must check off here if you want the search to include alternative article numbers (the field ‘Alt.no.’). Note: Article searches are faster if this has not been checked.

Blocked code: Filters out all articles which have a blocked code set. The article number in the list is shown in red. Blocked codes, see separate description under ‘System’ → 'Articles'.

All (red, yellow or green): Provides the option to filter by the following:

  • Red light bulb: Stock is less than the defined minimum stock.

  • Yellow light bulb: Stock is equal to the defined minimum stock.

  • Green light bulb: Stock is greater than the defined minimum stock.

Date [In stock]: An In stock date can be set to show the stock on the date indicated.

Create Stocktake: Stocktakes are created from this list. Filter out desired selection for stocktake, select articles, click save and click on the button ‘Create stocktake’ at the top right corner of the screen. Click directly in the created stocktake (blue font) if you would now like to open the stocktake directly via this screen. Alternatively, the stocktake(s)/counts can be accessed/executed via the menu ‘Articles’ → ‘Stocktakes’. For details, see separate description.

Export to Excel: Select one or more articles for export to Excel. If none are selected, all of the articles in the selection will be exported. Note that the selection of columns to be exported is also controlled by what the user has checked off in their user profile. The Excel sheet also allows you to perform a range of update imports via the import studio.

Export mode A or B: If Export mode ‘B’ is used, this generates an extra ‘Stocktake’ sheet in the Excel file, where you can indicate ‘Counted’ number, and then perform an import of this via the input studio.
