The last workflow status before approval is ‘Executed’, but the job has not yet moved into history. When status has been set to executed, this also sets the executed date (technically executed) and the light bulb status shows a blue light bulb on the work order list. When this status has been set, the button for ‘Approve’ is displayed.

History: NB! If this is not checked off, no historical job will be created for this job.

Completion date: Completion date; default is today’s date. Also if the job status was set to ‘Executed’ when it was technically executed. There are two date columns in the history list: one for ‘Created date’, which is this completion date, as well as ‘Executed date’.

Follow up: Support for follow-up of history. Notification message is sent on the follow-up date to the person who was assigned to the work order.

Reduce stock: Articles/parts on the work order that have not already been drawn from inventory directly into the work order by being checked off in the article lines will be drawn from the inventory upon approval.

Additional costs: Miscellaneous costs that need to be added to a work order, if they were not already included in the work order and accumulated/shown here.

Actual working hours: Actual working hours. If detailed time management has been selected for the job, this is locked to prevent changes.

Last Reading: The default is for the last registered hour status of the asset to be displayed. It is important that this is updated here with the equipment’s actual hour status when the job was executed.

Next occurrence: Only displays on recurring jobs. Check off here if the comment, assigned personnel and/or articles/parts will also be part of the next occurrence of this job.

Send Message: Select from this drop-down menu if internal employee or external system user or recipient should receive a message that the job has been executed.

Comments: Detailed comments about what has been done. This field can be marked as compulsory to complete.

Signature: You can select the employee whose signature will be on the message to be sent.

Invoice recipient:/Send message: When invoices are sent out (must be activated), the invoice recipient can be inserted here if they are not already shown. If ‘Send message” is also checked off, an email is sent to the invoice recipient that the job has been executed. The email address is retrieved from the contact information on the customer card.

Ready to invoice: Via this command, the job status can be set to ‘Ready to invoice’ for further processing and the creation of an invoice from the history.

SMS → Customer: Notifies the selected customer contact by SMS.

Electronic signature: This must be activated/configured via the system settings. User Name and Password must be inserted in order to move the work order over to history.
