This article shows how you can get started with Optimaze Worksense and how to use it.

What is Optimaze Worksense? An interactive smart office solution based on IoT technology, which supports modern and digital working environments.

Where can I use it? On any of your devices such as a smart phone, desktop and lobby screen.

Why Optimaze Worksense? It reduces the time used for searching for a space and making calendar bookings, and enables a better workplace experience for you.


Step by step guide to Optimaze Worksense

1. Open Optimaze Worksense mobile phone with arrow

  • Use through a web browser: https://worksense.optimaze.net
    (the supported web browsers are Firefox, Microsoft Edge and Google Chrome)

  • Download the Optimaze Worksense app to your mobile phone on the Google Play or App Store.
    (Search keyword: ‘Worksense’)


2. Sign in right arrow

  • If Microsoft or Google log in is enabled for your organization, use the Microsoft or Google buttons to sign in to Optimaze Worksense.

  • If you have any questions about the Microsoft sign in contact your organisation’s IT department.

3. View floor plan

After signing in, open a floor where you would like to find an available space. The floor view tells you whether the space is

  • 'Unoccupied' - No one is using the workstation/room at the moment

  • Recently occupied’ - Someone has recently been using the workstation/room

  • 'Occupied' - Someone currently uses the workstation/room

  • 'No data' - No sensors installed, but meeting room bookings / workstation booking status can be seen

  • Out of use - The workstation cannot be used / booked

  • 'Booked' - The workstation is booked via Worksense mobile app




In the floor plan you can also view other data such as indoor air, restaurant information or bookings if your organization has these features enabled.

4. Navigate easily to your building and floor

Go to ‘Workplace’ where you can navigate between different buildings. Clicking on a building opens up all the floors. Selecting a floor opens up the floor plan.

What

  • Find rooms with the search tool

  • See the room’s current status and its capacity (how many people the room fits)

  • View ongoing and upcoming meetings during the same day

  • Book an available room immediately or later for the same day

    • A new room booking will be updated to the its calendar in Outlook*

*You can only cancel calendar bookings made via the Worksense app (Outlook bookings cannot be deleted or modified via the Worksense app)

  • Book available meeting spaces with the search tool…

  • …click a meeting room symbol in the floor plan

6. Workstation booking

Booked workstations are marked on the floor plan. Bookings can be made up to seven days in advance and you can only have one booking per day.

  • Find available workstations with the search tool…
    or

  • …view the floor plan and book an available workstation by selecting a free icon

  • View your current bookings under ‘Workplace’ in the menu

    • Cancel your booking or check the location of a workstation you have booked

    • You can add more bookings by selecting again ‘Find’

7. Make a service request

  • Select a work desk or a room from the floor plan and click ‘Service request’

  • Select the type, write a description and attach a photograph

  • Once ready, click send and your request will be handled

    You can also create a service request directly in the floor plan by clicking the service request button, which opens up in a new view where you can select any spot in the floor plan and type in our service request with the instructions above.

8. Customize your Worksense experience

In ’Settings’ you can change the following

  • language

  • date and number format

  • temperature unit

  • distance unit

  • use color-blind optimized colors

  • give feedback and more

  • No labels
