It is recommended that rental areas are planned well in advance and that they are created in the database before making offers or agreements. The rental areas should be named in a logical way, so that they are easy to search for and recognize. If there are drawings attached to a rental area, it is best to create it using the floor plan browser. If there are no drawings available, the best way to create rental areas is to use the register and its Rental area management view. The rental areas created in the floor plan browser appear in the register, but spaces cannot be added to the rental area or deleted from it directly from the register. If you have created a rental area using the register, you cannot view it in drawings using thematic maps because the function is not available there. Rental areas created through the register are usually spaces, such as car parks and land areas, or single spaces with no drawings.

It is recommended that inrent and outrent rental areas are not created for the same spaces.

Creating a rental area in the floor plan

Generally, a rental area should be created in the floor plan. There, it is easy to see in a concrete manner, what spaces should be included in the rental area. The rental area can be created in the floor plan with Edit and Edit rental areas functions. Instructions on various functions of the floor plan browser can be found under the Menu header on the upper corner.

Creating a rental area using Rental area management

It is recommended that you use the Rental area management to create rental areas from spaces for which there are no drawings. These can be spaces, such as single small cabins or remote offices, as well as parking spaces and land areas. Through the Rental area management, you can also create rental areas that include all the spaces in a building.

 

From the main menu, select Inrent and Rental area management. Select the building for which you wish to create a rental area from the hierarchy tree.


The building summary page will open up. On the right side, there is the option Create rental area.

When you click on it, a page for creating the rental area will open up.

Give the rental area a name that is easy to recognize. You can also define a target price and category for the rental area (e.g. Apartments, Office, Business premises, Storage, Car park).

The total floor area of the rental area will be calculated according to drawings. If you want to set a different area, enter it in the field Alternative area.

When you are ready, select Save rental area. You can see the created rental area in the Rental areas section of the building summary page.

Rental area utilities

You can add various utilities for each rental area in Optimaze: Property type, Rental area type, Rental area utilities, Residence type. For more detailed instructions, see the section Lease management administration.


Target rent of the rental area

You can set a target rent for a rental area, and this will be used as the rent in the agreement by default, when the rental area is selected for the agreement. In the agreement, the rent can be changed to something other than the target rent. The modified rent is displayed in the final agreement.

You can set the target rent when creating a rental area either in the floor plan or via rental area management.
