Active: If an employee quits, remove this check mark. The employee is thus, among other things, hidden in the list of choices of responsible / executor on work orders.
+ Document: Upload new documents or link already uploaded documents.
+ Qualifications: Add certificates etc. Documents can be linked to the employee's qualification. Missing qualifications must be created under the menu ‘System’ → ‘Employees’ → 'Qualification', re. 15.8.5 Qualification. When linking assigned personnel to work orders, there is a Qualification filter.
Notification of expiration date for certificates etc. that are entered under qualifications on the employee card (in edit mode). The different notification types are Internal (inter-notification), E-mail and / or SMS. The recipient of the notification is the employee (default), but in addition, another internal employee can also be appointed who also receives notification. An expiration date and the number of days 'Notice before due date' must be entered. When notification has been sent, it will be indicated with a red envelope next to the relevant qualification in the overview of qualifications. If you edit the qualification, and set a new expiration date, the red envelope will disappear again.
Also note that if you filter on a specific qualification in the list view of employees, a separate column for expiry date is displayed.
If our deviation system has been activated in your system, you will find the section for deviation management. It is user(s) who are set up as administrators (AD in the access control) who can define the roles.
Role:
Supervisor (S) - Gives access to all deviations that have been created.
Administrator (A) - Set up as a recipient at a relevant registration address for a specific type of deviation. The administrator only has access to the deviations that are linked to his/her deviation types. The administrator can forward a deviation to a case manager. Caseworker (C) - The caseworker is authorized to handle deviations, and he/she only has access to their own deviations, i.e. only the deviations that have been allocated to this caseworker.
Registration only (R) - User who has access to the deviation system and their reported deviations. The user is only authorized to report deviations.
Only Deviation System: If this activated, this user only has access to the deviation system.
Lock [Department]: If this is activated, the deviation list is locked against the employee's/user's department.
Close/Reject Deviation: If this is activated, the user can close and reject deviations.
