2. Sign in to Worksense

3. Navigate easily to your building and floor

Tap the ‘Buildings’ Buildings tab to see available buildingsthe floor plan of your default building floor. Tap a building to open up all the floors. Selecting a floor opens up the floor planname at the bottom to choose another floor or building.



4. Find available workspace

After signing in, open a floor where you would like to find an available space, such as workstation or meeting room. The floor view plan tells you whether the space is

  • 'Unoccupied' - No one is using the workstation/room space at the moment (based on occupancy sensor data)

  • Recently occupied- Someone has recently been using the workstation/room space (based on occupancy sensor data)

  • 'Occupied' - Someone currently uses the workstation/room space (based on occupancy sensor data)

  • 'No occupancy information' - No sensors installed, but meeting room bookings or workstation booking status can be seen

  • Bookable  - The space is available for booking
  • Booked - Someone has booked the space via Worksense mobile app

  • Out of use -The space Out of use’-The workstation cannot be used or booked, or it is in need of maintenance'Booked' - Someone has made a booking on the workstation via Worksense mobile app

5. View

Indoor Air Data

In the floor plan view you can choose to view indoor air data by tapping the Image Added button on the top right corner. The available indoor air data includes Temperaturetemperature, Humidity humidity & CO2 CO2 levels. The data is based on indoor air sensors.

6. Book

  • Find rooms with the search tool

  • See the room’s current status and its capacity (how many people the room fits)

  • View ongoing and upcoming meetings during the same day

  • workstations, meeting rooms or other resources

    There are two ways to start a new booking. The actual booking of the resource is the same for both.

    Booked resources are marked on the floor plan with the profile picture or initials of the person who made the booking. For anonymous bookings, a placeholder profile picture is shown.

    Book a resource from the booking page

    1. In the Bookings page, tap the Image Added button next to the date you want to make the booking for. How many days you can book in advance depends on your organization settings.
    2. Choose the type of resource you want to book.
    3. The floor plan will be shown, filtered to only show the resource type you selected. Available resources are shown with a green circle. By default, the floor plan will show resource availability on your selected date for 8 hours from the start of your default booking time, but you can adjust the time interval. 
    4. Tap a resource on the floor plan to see its details, which may include name of the resource, the type of the resource, occupancy status, capacity (how many people a room fits), and existing bookings.
    5. If the resource is available, the time interval will be shown as ready to book. If you want to adjust the booking start time and duration, you can drag the selection vertically on the calendar view or tap More and change the start and end time.
    6. Tap Book to make your booking.

    1. Tap Buildings to see your default building floor.
    2. If you want to book for future, tap Now, set the date, start time, and end time and tap Update. The floor plan will then show the available resources during the specified period with a green circle.
    3. Optionally, you can filter the floor plan to only show a specific resource type, such as meeting spaces, by tapping Show all.
    4. Tap the resource you want to book, such as a workstation or a meeting space, on the floor plan to see its details. Details may include name of the resource, the type of the resource, occupancy status, capacity (how many people a room fits), and existing bookings.
    5. If the resource is available, the time interval will be shown as ready to book. If you want to adjust the booking start time and duration, you can drag the selection vertically on the calendar view or tap More and change the start and end time.
    6. Tap Book to make your booking.


    7. Make a service request

    1. Tap the resource that needs attention, such as workstation or a meeting space, on the floor plan, then tap Image Added Service request.
      1. If the issue is not related to a specific resource,tap the Image Added icon in the top right corner of the floor plan. Then tap the approximate location on the floor plan where the issue is.
    2. Select the type of the request

    7. Book a workstation

    What?

    Booked workstations are marked on the floor plan with a ‘Booked’ icon. Bookings can be made up to seven days in advance and you can make a booking for the entire day or for part of the day. 
    All workstation booking are anonymous, which means that no one can see who has made the booking*.

    How?

    • Select 'Find' to find available workstation for today or up to seven days in advance
      OR

    • … View a floor plan, select an available workstation and book it

    • View your current bookings under ‘Workplace’ in the menu

      • Cancel your booking or check the location of a workstation you have booked

      • You can add more bookings by selecting again ‘Find’

    *There is a new demo version up for trial for workstation bookings where you can see who has made bookings, which shows only the initials of the person. This feature can currently only be switched on by Optimaze Help Desk. Please contact us for further information.

    Workstation bookings are now also in the Worksense web application! In the current version you can make workstations bookings only for the same day via the web application.

    8. Make a service request

  • Select a work desk or a room from the floor plan and click ‘Service request’
    OR

  • Click on the ‘Service request’, ie. the tool icon in the upright corner, after which you can click anywhere on the floorplan to make a service request
    THENSelect the type

    2. Tap Send and your request will be handled by your organization’s help desk.

    8. Customize your Worksense experience

    In ’Settings’ you can change the following

    • Language of the app

    • Language

    • Date and number format

    • Temperature unit

    • Distance unit

    • Use color-blind optimized colors
