This page displays an example of a non-conformance form. These forms can be configured according to your preferences.

Info: Fields marked with red asterisks are mandatory and have to be completed before the non-conformance can be submitted. Fields marked with orange asterisks must be completed to be able to close the non-conformance.

Tip: You can connect data from other modules to the non-conformance on the form.

Responsible and processor

A distinction can be made between the person responsible for the non-conformance and the person who is to process it. For example, the person responsible may be the department manager in the department where the nonconformity occurred, while the quality manager is the person who will process the nonconformity.

Status

Non-conformances can have different statuses depending on where in the processing they are.

  • Non-conformances for which processing has not yet started can have the status New.

  • Non-conformances that are in progress can have the status In progress.

  • When the non-conformance has been processed, the processor of the nonconformity can change the status to To closing so that the person responsible knows that the non-conformance has been fully processed and can be closed.

  • The person responsible reviews the root cause analysis and the corrective measures implemented, and changes the status to Closed if the measures are satisfactory.

Note: The statuses on this page are examples. The available statuses can be changed under Basic data configuration in the control panel.

Economic consequence

There are two options for registering economic consequence. For individual records, the text and amount fields can be completed directly on the non-conformance form. If there are several economic consequences linked to the non-conformance, it is possible to create additional financial records under the Economic consequence tab. It is also possible to edit existing financial records linked to the non-conformance by opening that tab.

Registration and processing

The non-conformance form consists of 4 steps:

1. Registration of non-conformance

The person registering the non-conformance describes the non-conformance and selects the responsible person. The program automatically retrieves the date and time at which the non-conformance was created in the Registered date field. Registered by is the user logged in.

2. Processing of the nonconformity

The Complete by date field controls the colour of the nonconformity in the nonconformity list. This does not apply to closed nonconformities. Nonconformities that have been processed and closed are green. If a nonconformity has passed its Complete by date, the nonconformity is red in the list. Nonconformities where the Complete by date has not been passed are yellow.

Tip: Hover the mouse over the coloured boxes to view a description.

3. Closing

When the nonconformity has been processed, the person responsible (or processor) for the nonconformity can close it.

4. Controlling/revision of measures

When a measure has been implemented, the effects of the measure can be controlled/revised and noted in the non-conformance.

Note: One or more of these steps may be hidden on the form. Enable configuration mode to make them visible.
