This feature requires internal bookings and/or external bookings to be turned on in your company.

EG Worksense supports booking multiple types of spaces:

  • Workstations, usually personal desks often in an open space
  • Meeting spaces ranging from informal huddle rooms to large conference rooms which typically have a capacity larger than one person
  • Phone booths, also known as office pods, meant for making voice or video calls
  • Parking spaces for employee vehicles
  • Other spaces

Some of the spaces in your office may not be bookable through EG Worksense. Phone booths, for example, are often available first come, first served basis.

You can only book one space of the same type at the time in EG Worksense. The way spaces are booked differs slightly between the web app and mobile app. For more details, see below.

When you book a meeting space that is also available through Outlook, a new room booking will be added to its calendar in Outlook. You can only cancel calendar bookings in EG Worksense which have been made in EG Worksense. Bookings made in Outlook cannot be deleted or modified via EG Worksense.

Booking a space in the web app

By searching for available spaces

  1. Navigate to the floor where you want to make a booking.
  2. Click New booking, set the date, start time, and end time.
  3. Optionally, you can limit the search for a specific type of space, such as meeting spaces, by selecting the type of space you want to see from the Type of space.
  4. Optionally, you can search from all floors of the building by selecting Any from the Floor.
  5. Click Search. Available spaces will be listed on the left side of the floor plan, and the floor plan will show the spaces available during the specified period with a filled green circle.
  6. To see the details of the space you want to book, click it on the list or on the floor plan. Details may include the name of the space, the type of the space, capacity (how many people a room fits), and existing bookings.
  7. If the resource is available, the booking form will be shown. There you can adjust the booking start and end time and more.
  8. Tap Book to make your booking.

By choosing the space from the floor plan first

  1. Navigate to the floor where you want to make a booking.
  2. The floor plan will show the spaces available right now with a filled green circle. If the spaces have sensors, unoccupied spaces will have a green ring around them.
  3. To see the details of the space you want to book, click it on the floor plan. Details may include the name of the space, the type of the space, occupancy status, or capacity (how many people a room fits).
  4. By default, the space’s calendar will show when it is available or booked today. You can switch between dates by clicking the Arrow left icon and Arrow right icon arrows.
  5. Click the Book button on the space’s calendar to choose the initial period you are interested in.
  6. The booking form will be shown. There you can adjust the booking start and end time and more.
  7. Tap Book to make your booking.

Booking a space in the mobile app

From the Bookings page

  1. In the Bookings page, tap the plus icon button next to the date you want to make the booking for. How many days you can book in advance depends on your organization settings.
  2. Choose the type of space you want to book.
  3. The floor plan will be shown, filtered to only show the type of space you selected. Available spaces are shown with a filled green circle. By default, the floor plan will show resource availability on your selected date for 8 hours from the start of your default booking time, but you can adjust the time interval. 
  4. Tap a space on the floor plan to see its details, which may include name of the space, the type of the space, occupancy status, capacity (how many people a room fits), and existing bookings.
  5. If the space is available, the time interval will be shown as Available for booking. If you want to adjust the booking start time and duration, you can drag the selection vertically on the calendar view or tap More and change the start and end time.
  6. Tap Book to make your booking.

From the floor plan

  1. Tap Buildings to see your default building floor. If needed, switch a building or floor by tapping the name of the building at the bottom of the floor plan.
  2. If you want to book for future, tap Now, set the date, start time, and end time and tap Update. The floor plan will then show the spaces available during the specified period with a filled green circle.
  3. Optionally, you can filter the floor plan to show specific type of spaces, such as meeting spaces, by tapping Show all and then selecting the type of space you want to see.
  4. Tap the space you want to book, such as a workstation or a meeting space, on the floor plan to see its details. They may include the name of the space, the type of the space, occupancy status, capacity (how many people a room fits), and existing bookings.
  5. If the resource is available, the time interval will be shown as Available for booking. If you want to adjust the booking start time and duration, you can drag the selection vertically on the calendar view or tap More and change the start and end time.
  6. Tap Book to make your booking.

Booking a space for colleagues

This is optional feature of the EG Worksense web app and must be enabled by your EG Worksense admin. Colleague booking is not available for spaces whose bookings are managed in Microsoft 365 or Exchange On-Prem.

Typically this is used for workstations.

  1. Choose the space, date and time you want to book as usual.
  2. In the booking form, click the Colleague
  3. Enter the colleague’s name and choose them from the provided list of matches.
  4. Click Book.

The colleague will be notified by email about the booking. The booking appears on their bookings list with the name of the person who booked it. The colleague can delete the booking themself.

You will see the booking in your bookings list with the name of the colleague who it was booked for. You can also delete the booking as usual.

Booking a space for visitors

This is optional feature of the EG Worksense web app and must be enabled by your EG Worksense admin. Visitor booking is not available for spaces whose bookings are managed in Microsoft 365 or Exchange On-Prem.

You can book spaces managed in EG Worksense for visitors in the EG Worksense web app.

  1. Choose the space, date and time you want to book as usual.
  2. In the booking form, click the Visitor tab.
  3. Enter their name and email address.
  4. Click Book.

The visitor will be notified by email about the booking.

You will see the booking in your bookings list with the name of the visitor who it was booked for. You can also delete the booking as usual.

Booking for multiple dates

This is optional feature of the EG Worksense web app and must be enabled by your EG Worksense admin.

To simplify the process of booking repeatedly used spaces such as workstations, you can book a space for multiple dates in the EG Worksense web app.

  1. Choose the space, date and time you want to book as usual.
  2. In the booking form, turn on the Book for multiple dates.
  3. Select all dates you want to book. You can select any date when the space is available between the booking start and end time.
  4. Click Book.

How long in the future you can make bookings depends on your company’s settings.

Making a private booking

This is optional feature of EG Worksense and must be enabled by your EG Worksense admin.

To keep the identity of the person who booked the space private from other EG Worksense users, you can make individual bookings private in the EG Worksense app.

  1. Choose the space, date and time you want to book as usual.
  2. In the booking form, turn on the Private.
  3. Click Book to confirm your booking.

The space will be shown booked for other users, but the name or profile picture will not be displayed.
