Each capacity object has a capacity and with the feature you can set how much of it is usable. A few example use cases where the feature can be used:

  • A section of a floor is under maintenance for several weeks and all of the workstations and meeting rooms are not usable during the time. You want to show this information also in EG Worksense and take into account in the utilization reporting.

  • During COVID-19 you want to support social distancing and every other workstation is not usable and meeting rooms' capacity is lowered by 50%.

How it works

If the feature is enabled, EG Worksense uses the usable capacity information to represent a capacity objects' reduced capacity or mark them as ‘Out of use’ if usable capacity is 0. No occupancy status or booking information is shown for ‘Out of use’ capacity objects.

Usable capacity is set in Optimaze Space module and you can set it for existing capacity objects or when placing new ones.

Instructions

You must have Space management role in Optimaze Portal.

Enable the feature

  1. Log in to Optimaze Portal

  2. Go to Optimaze Space and choose ‘Capacity object types’ under the ‘Administration’ drop down menu

  3. Select the main capacity object type you wish to enable the feature by clicking ‘Edit

    • Note, the feature also applies to sub types















  4. Check the box for ‘Usable capacity

  5. Click ‘Save’. You are now ready to start using the feature.

  6. Open a floor plan under ‘Floors’ or navigate to ‘Buildings' to start adding capacity objects or edit existing ones















Add capacity objects with usable capacity = 0

  1. Click ‘Edit' and ‘Capacity Objects…’ on the top navigation bar

  2. Select capacity object type, capacity, and set the usable capacity to 0

  3. Click floor plan with your mouse on the position, where you would like the object

    1. Note! If you left usable capacity empty, nothing will happen when clicking on the floor plan

  4. The capacity objects are automatically saved to the floor plan

  5. Continue adding capacity objects until you are ready


Edit existing capacity objects

  1. Click ‘Edit' and ‘Capacity Objects…’ on the top navigation bar

  2. Select one or more capacity objects you want to edit the ‘Usable capacity’ information

  3. Set the capacity object’s usable capacity to 0, if you want to make it out of use

  4. Click ‘Update selected capacity objects

Tips and notes

  1. When you want to reopen a workstation, increase the available capacity to the value 1

  2. You can give a date when your modifications will apply to your selected capacity objects

    1. If you know in advance when workstations are reopened or the available capacity of a meeting rooms returns to normal, you can make these changes in advance.

  3. Usable capacity cannot be larger than the object’s capacity

  4. Usable capacity cannot be negative

  5. Usable capacity does not affect installing occupancy sensors to capacity objects with Optimaze Inventory

  6. No occupancy status or booking information is shown in EG Worksense for ‘Out of use’ capacity objects
