1. General information about Optimaze
“Service” refers to the space management service offered by EG Finland Oy. Optimaze is an easy-to-use modular software that gathers all the customer’s real estate portfolio data on facilities and working environments in one place. The Service can be used from a server through the Internet, in compliance with these terms of use. The Optimaze service is provided in a secure, audited server environment. The content of the service depends on each user’s access rights and the Optimaze service modules used by the customer organization. Optimaze includes customer communication, communication directed at organizations’ main users and optional communication directed at individual users.
For further information about the content of the Service, please contact the main user in your organization.
2. Software and data communication
The Optimaze service is available as agreed with the customer, i.e. your organization.
2.1 Server environment
The data in Optimaze is stored on servers located in an audited server room in Finland. The Optimaze server makes use of the latest, most modern server solutions. Back-up copies of the data are saved on another server located in a separate room, and these copies are kept for six months.
Customer-specific interfaces (integrations) can be used for importing and exporting data. All integration and migration work is always subject to agreement with the customer.
Customer-specific IP restrictions can be configured for each customer. The allowed IP addresses are always agreed upon separately with the customer.
2.2 Support services
Optimaze user support is available from 8:00 a.m. to 4:00 p.m. EET, in Finnish and English. User support is also available through a digital Service Desk Portal. User support can be reached at:

3. Rights
The immaterial property rights and other rights to the Service belong to EG Finland Oy. The data content is the property of the customer.
4. Responsibility for the content
You are only allowed to use the service on the permission of the content owner, i.e. your organization. As a user of the Service, it is your responsibility to make sure that the information you enter in Optimaze is correct and legal.
As a user of the Service, it is also your responsibility to make sure that you have the right to import data into the Service (that you have the architect’s permission to use floor plans, for example).
As a user of the Service, you acknowledge and accept that you start the software and/or download data from the software outside the EU/EEA solely at your own risk. EG Finland Oy accepts no responsibility for any consequences resulting from use outside the EU/EEA. Such use can also be forbidden by your organization (the data controller).
5. Log-in/registration
The customers’ main user shall provide EG Finland Oy with details about the users and the access rights required by each of them. Users log in to the service using their personal username.
Customers can also implement single sign-on (SSO), which makes it possible to log into Optimaze with the organization’s own login service. The implementation of SSO is always subject to agreement with the customer. If a user has already logged in to the customer organization’s own login service, they do not need to enter a username and password separately.
Any subcontractor systems used by the customer organization can also be accessed by logging into the Service.
