You have access to real-time sensor data and reporting through the Optimaze portal. Compare between different seat types, time intervals, weekdays, floors, buildings and hours of the day or find the most popular spaces with our interactive reporting tool. This article shows all the metrics you have access to.

How to view reporting


  1. Open your browser and go to the Optimaze portal


2. Go to Panorama

3. Click on ‘Custom reports’ in the blue header


4. Choose which report you want to view by clicking on the ‘Choose report’ drop-down menu on the right

Choose which Dashboard you want to view

Under the Occupancy Dashboard you will find:

  • Occupancy data

  • Occupancy data Heatmap

And under the Indoor Air Dashboard:

  • CO2

  • Humidity

  • Temperature

  • VOC

Workstation Booking Dashboard shows:

  • Number of bookings

  • Booking rates

Basic Functions of the Reporting

Export data to excel or csv

  1. Take your mouse on top of a graph and click “” -button on the top right corner of the graph

2. Select ‘Export data’ and select .xslx or .csv format


Occupancy Dashboard

Occupancy dashboard requires Occupancy info -feature.

The dashboard shows you occupancy data gathered by Occupancy sensors.


Time interval

The title of the page defines the time interval used for calculating the occupancy metrics on the report page. Two time intervals are used on the report: 1 hour and 5 minutes.

Time interval means what interval is used for calculating if a space is occupied or not.

‘by 1 hour’ = a day is split into 1 hour time intervals. If a workstation or a meeting room is occupied during a 1 hour interval just once, it is calculated as occupied.

‘by 5 minutes’ = a day is split into 5 minutes intervals. If a workstation or a meeting room is occupied during a 5 minutes interval just once, it is calculated as occupied.

If you would like to have different time intervals on your report, contact your account manager.

Building Filters

You can leverage the different filters on the left hand side to look at more detailed data based on your needs. You can pick one, or a combination of many options if you have more than one, in other cases you can leave the filter as ‘All'.

  • Building - name of your building

  • Floor - name of your floor

  • Building block - the building can be divided into building blocks

  • Space label - label of your space

  • Space name - name of your space

  • Capacity object type - name of the seat type, for example ‘Workstation’ (you can use our templates or create your own)

  • Capacity object sub type - name of the seat sub type, for example ‘Open’ workstation (you can use our templates or create your own)

  • Usage type - assigned or shared capacity object

  • Capacity - four categories based on the capacity object’s capacity: ‘S, 1-4 persons', ‘M, 5-9 persons’, ‘L, 10-15 persons’, ‘XL, 16 persons or more’

  • Organisation - organisations defined to spaces

Time Period Filters

Additionally, you can view different time periods during your measurement. For example if you want to look up a specific week or certain weekdays. The filters below are located on the top of the occupancy tab:

  • Date range - pick a period between two dates, for example 1.6.2019 - 31.5.2020

  • Selected dates - deselect dates that you want to exclude from the report

  • Months - pick from any month or several (January-December)

  • Weekdays - pick from any weekday or several (Monday-Sunday)

  • Hours - pick between any hours from 0-24

Bar charts

The summary page has three main bar charts depicting the ‘average’ bar charts based on your selected filters:

  • occupancy by Month

  • occupancy by Weekday

  • average occupancy Hourly

The occupancy page has one main bar chart depicting the average occupancy by hour and day

Donut charts

Furthermore, on the right you can view three donut charts showing the below data based on your selected filters:

  • average

  • daily peak average

  • peak

Heatmaps

The Heatmap page shows you literally how hot or cold the seats are according to their use. The higher the average utilization rate the warmer the color (red) of the seat and vice versa (blue) for lower utilization.

Each Heatmap shows one floor per page. Otherwise Heatmaps have the same functions for filters, time period and donut charts as in the other pages

Peak one individual peak occupancy value during the selected time period



Cleaning Dashboard

Cleaning Dashboard can be set up based on occupancy sensor data. The data is presented on a floor plan as a heatmap. The heatmap can be set up to show data only for the time period between the cleaning shifts.

The heatmap will show all seats/rooms that were utilized even once during the day (utilization > 0%) as red. And all seats/rooms that were not utilized at all during the day as blue.

The cleaning staff can be given permission to view the report directly from Optimaze Portal, so there is no need to, for example, print out the heatmap before the start of each shift.


Indoor Air Dashboard

Indoor Air Dashboard requires Indoor Air Info -feature.

Indoor Air report shows you CO2, humidity, temperature and VOC levels gathered by Indoor Air sensors .

View different data by changing from the tabs in the bottom.

The indoor air data has two main bar charts depicting the average values based on your selected filters:

  • Average by Month

  • Average by Weekday

And one main line chart depicting the average, minimum and maximum values based on your selected filters:

  • Average, Minimum and Maximum Hourly


CO2

Target: under 800ppm.

Humidity

Target: 5%-70%

Temperature

Target: 20.5°C -26°C

VOC

Target: under 300 ppb

  • the sensors measure the volatile organic compounds (TVOC). These compounds usually come from new paint or carpets. 


Workstation Booking Dashboard

Workstation Booking dashboard requires Workstation bookings -feature.

The report dashboard shows the data from workstation bookings made by Worksense users.

Summary

Summary - page shows key and basic workstation booking figures.

The Basic Info -box includes the total number of workstations and the number of usable and not usable workstations.

‘Help’ - button on each page will direct you to this report instructions page.

Number of Workstation Bookings

The Workstation Bookings -page shows the number of bookings by seat subtype, organization, building, floor, weekday and date.

Daily avearage bookings means the number of bookings made per day on average.

Percentage of Booked Workstations

Percentage of Booked Workstations -page shows the workstation bookings in percentages. The graphs depict how many workstations were booked by building, floor, subtype, organization, date and weekday.

The percentage of booked workstations is calculated by:

number of bookings / bookable workstations

Drill Down Bar charts

‘Building & Floor' bar graph shows the data by Building as a default. And 'Subtype & Organization’ graph shows the data by Subtype as a default.

In order to view the Floor or Organization data drill down the graph by clicking the two downward arrows on the top right corner.

Or ‘Expand all down one level in the hierarchy’ by clicking the joint downwards arrow.
