Every user can edit their own profile, with certain restrictions. The password can be changed from this screen. The settings that only administrator users are authorized to change are not marked as active for change. 

Screen settings

Tablet: There are some tablets that behave like PCs. This must be activated in that case for the device to behave like a tablet, so that a mobile layout is also available on the tablet. Note: It may only be activated / switched on inside the current tablet. Also note that if this is activated for a user who is an administrator (AD), the 'Admin' menu will be hidden.

Multiple screens: This must be activated in order to use the system on multiple screens; see separate topic in FAQ. 

Multi Device: This must be activated in order to be logged in on both desktop computer and smartphone at the same time. 

Work

Info regarding department, employee group, profession and other can be obtained here from the user’s employee card. Info can be updated here. 

Private

Info here is taken from the user’s employee card. Info can be updated here. 

Settings

Login type: This info is taken from access control. It can only be set by administrators. 

Login: By default, this is set to ‘My Work Orders’. The home page is the first page that you see after logging in. The user is authorized to change the home page to what they want. 

Asset Structure: The user is restricted in terms of the asset structure to which they will have access. Also note that administrators can grant access to other parts of the structure via Favourites. For details, see separate description under the menu ‘Admin’ → ‘User profiles’ → 'Authorization’. It can only be activated by administrators. 

Inventory structure: The user is restricted in terms of which inventory (storage structure) they will have access to. Within the article card, the user will see other inventories holding the article, as well as the total stocks of the article. It can only be activated by administrators. 

Registration address: If an registration address is entered here, it will come as standard for the user now that a message is created. This will override the standard registration address which may have been set to a registration address ref. also 15.9.1 Registration addresses

Language: Here, the user can set which language (Norwegian, Swedish, German or Polish) they want. By default, this will be the system language that has been set in system settings. 

Screen Width: Desired screen width or width of screen to be used. 

My Work Orders:

  • My - will basically show the work orders on which the employee is assigned to as. If, in addition, the check box for 'Supervisor' is activated, the work orders for which the employee is only supervisor/responsible will also appear in the list.

  • Group’s - will show all the work orders that all the employees, in the same employee group as the employee, are assign to or supervisor /responsible for. If, in addition, the check box for 'Responsible' is activated, the work orders for which the employee is also only responsible, regardless of the employee group, will appear in the list. Also note - if a restriction on action to a specific employee group has been set up in the workflow, the employee who is connected to this employee group will also see work orders that are not related to their own employee group. (The work order status is shown in red letters in the work order list where action is required)

  • Profession’s - will basically show all work orders that are linked to the same professional group that the employee is linked to. If, in addition, the check box for 'Supervisor' is activated, the work orders for which the employee is also only responsible will appear in the list. If, in addition, the checkbox for 'Responsible' is activated, the work orders for which the employee is also only responsible, regardless of profession group, will appear in the list. Also note - if an action to a specific professional group has been set up in the workflow, the employee who is connected to this profession group will also see work orders that are not related to their own profession group. (The work order status is shown in red letters in the work order list where action is required)

My Checklists:

  • My - will only show the checklists on which the employee is set as responsible or as assigned personnel.

  • Group’s - will show all checklists that are connected to employees who are in the same employee group as the employee is in. This only applies when the employee is entered as Assigned to on the round head itself.

  • Profession’s - will show all checklists (and checklist with check points) that are connected to the same professional group that the employee is in.

Messages: 

  • My - will only show their own messages.

  • Group’s - will show all messages for all employees in the same employee group that the employee is in.

  • Profession’s - will show all messages for all employees who are connected to the same professional group as the employee.

Note: The choices regarding 'My work orders', 'My Checklist' and 'Messages' can only be set for users by the administrator in the profile settings under 'Admin'.

Pagination: Here you can set how many lines you want to display on every page of the list view. The default is set to 20 lines. 

Show filter: If this is activated, all filter selections will show by default in all list views. 

Sender’s Signature [Approve/Messages]: If this is activated, you get a separate drop-down menu in which to select sender when approving work orders or sending a new message. This is typically used in situations where a collective login user is used. 

Suggest date on WO: If this is activated, the system sets today’s date by default in the From/To Date fields in the work order. Note: This can create problems on iPhone/iPad. 

Filter employee list [Department]: If this is activated, the employee list is filtered in the department to which the user (employee) is linked. This is particularly useful in cases where someone has a lot of departments/sites. 

My View Only: Via this, administrators can activate so as to ensure that a user only has access to <My Page/My Work Orders/My Checklists/My History/Mailbox. 

Display all Messages: If this is activated, this provides access to see all messages in View. If ‘Admin’ is activated, the user is authorized to create work orders and history on messages that have not been sent directly to the specific user. It can only be activated by administrators. 

Hide WO Notification: If this is activated, this hides the option for a user to set a notification on the number of days/hours before From Date / To Date on a work order. It can only be activated by administrators. 

Message copies: If this is activated, the user can add copies to a message. It can only be activated by administrators. 

Hide custom filters: If this is activated, it removes the option to create custom filters in lists such as the lists for assets, work order and history.

Audit trail: If this is activated, the trace log of changes in database records is shown directly on the screens. Who changed the date on a particular work order, etc. INSERT\UPDATE\DELETE are traced in the tables. Administrator also has access to full ‘Audit trail’ under ‘Admin’. 

Details [Message/Event log]: If this is activated, it turns on details such as default view on message and event log. 

Adjust stock: If this is activated, the user is authorized to add parts to inventory, adjust the number in the inventory and/or move from/to in inventory. It can only be activated by administrators. This function must be seen in conjunction with ‘TR’ in access control. 

Assets ordered by name: If this is activated, assets are sorted by name instead of number in all asset selections. 

Auto-refresh x min: If this is activated, the screen refreshes automatically after x number of minutes. Alternatively, press F5 or the refresh button to refresh the screen manually. 

Advanced asset search: If this is activated, it brings up advanced asset search in asset view, work order view, history view and checklist view. Filter: Limit to personnel included in selected structure only.


Notification [changes WO]: If this is activated, the user will be notified when the work order changes workflow status, as well as notification when changing: Short description, Description, Comment and From-ToDate. Note: This only applies to work orders that have been set up with notification. 

Simplified registration: If this is activated, the user will always, by default, enter the registration screens for simplified registration, where available. The user gets a simplified mode / interface for easier filling. In the registration images, the user can switch to ‘Detailed’ and back again to ‘Simplified’ in the upper left corner. When new is registered the last used version is remembered. Any mandatory fields will also appear in simplified view.

Menu [Simplified]: If this is activated, the icons in front of the menu items in the main menu are hidden.


Simplified registration [WO > Articles]: If this is activated, it is possible to quickly register articles on WO.


Time Registration [Approval of hours]: If this is activated, the user is authorized to approve detailed time registrations via a special mass update function. It can only be activated by administrators. 

Articles [For approval]: If this is activated, the user gets an approval role for approving new articles. It can only be activated by administrators. There is a separate widget, on the home page, for an overview of articles for approval. Re. 20.0 Home Page.

PO: Refresh [Need]: If this is activated, the user is authorized to update need within a purchase order which has the status ‘Need’. It can only be activated by administrators. 

Preselection [WO]

The preselections for work orders will display by default when a new work order is created by the user. The settings here will also apply when work orders are created via mobile layout. 

Workflow [WO]: The user can be set up with their own default workflow for work orders. For details regarding how to set up custom workflow, see separate description under ‘System’. 

Period [Work Orders]

User-controlled time horizon for displaying planned work orders and history jobs. If time horizons are set here, these will override any time horizons that are set in the system settings for this user.

Preselection [PO]

Preselection for purchase orders will appear by default when the user sets up a new purchase order. Delivery and invoice addresses are taken by default from the addressee that has been set in ‘System settings’. Anyone operating with multiple departments with different delivery addresses and possibly invoice addresses, can create separate addressees for these departments with separate default addresses. 

Delivery [Purchasing]: Addressee with specific default delivery address. 

Invoice [Purchasing]: Addressee with specific invoice address. 

Workflow [PO]: The user can be set up with their own default workflow for purchase orders. For details regarding how to set up custom workflow, see separate description under ‘System’. 

List view (All)

List view: Shown here for asset. The user themselves can activate/manage which columns, in addition to default columns, the user wants to see in the various list views. Currently, as well as assets, as shown above, it is possible to make selections for work orders, history, articles, event log, deviations, invoice lines (SM) and storage transactions.

Colour Themes 

The user can override / set up the desired color theme that will apply to all screens, in addition to what the administrator has set by default under the system settings.

Change password 

The user themselves can change their password here, in accordance with the password rules that have been set up in system settings. Note that if the administrator resets the password via the user profile of the user in the menu 'Authorization', the password is reset to the username (initials) of the user.

Reset filter

 The user can use this button to perform a "hard" reset of all filters.

Upload picture 

Upload profile picture with one of these file types: .gif, .jpeg, .jpg or .png with max. size of 100Mb.
